For accounting firms: client documents that chase themselves this busy season.

Give your seniors their afternoons back this busy season. I build an automation that reminds each client about the documents still missing, files what arrives and stops once they're done. It runs inside your own accounts, and nothing goes live until it passes the tests we agree on.

For US and Singapore accounting firms of 5 to 50 staff. Built by a former QA engineer at a Series C healthtech company, now in Singapore after nearly 8 years in the US.

One case failed in week 2, and I fixed it before launch. That's what the tests are for.

Your team shouldn't spend busy season chasing clients and retyping forms.

Missing documentsYou're still waiting on bank statements from a dozen clients.Returns stall until the last file arrives.

RemindersYour seniors spend afternoons writing reminder emails.Their hours go to admin instead of client work.

OnboardingNew clients send their KYC documents in five different formats.Someone retypes the same details into several systems.

Client dataSomeone pasted a client's return into ChatGPT, and you can't say where it went. That's the conversation no firm wants to have with a client.

Four workflows I automate for accounting firms.

Document chasing

TodayStaff send reminders by hand and track replies in a spreadsheet.

With AutomationThe automation sends each client a reminder listing only what's missing, saves each file to the right folder and ticks it off.

Client onboarding and KYC

TodayYour team retypes details from forms and ID documents into several systems.

With AutomationThe automation captures the details once, checks them and files them where they belong.

Reconciliation prep

TodayYour team copies figures from statements into spreadsheets by hand.

With AutomationThe automation pulls out statement lines and flags anything that doesn't match for review.

Deadline reminders

TodayDeadlines live in a shared calendar and someone's memory.

With AutomationClients and staff get reminders at set points before each deadline.

What an automated document chaser does.

  1. Client List
  2. Reminder Listing What's Missing
  3. Reply Read
  4. File Saved and Ticked Off
  5. Chasing Stops

Before it goes live, it's tested against the replies that trip up most chasers:

Your clients' data stays in your systems.

Agreements firstWe sign an NDA and a data processing agreement before I touch anything.

Your accounts, not mineThe automation runs inside your own Google, Microsoft or practice software accounts.

Synthetic data while buildingReal client data is only used once the tests pass and you've signed off.

How we'd work together.

  1. Automation Audit

45-minute call, report within 3 business days

We walk through how your firm handles documents today. You get a written report with your top three workflows to automate, the hours each could save, and a fixed quote.

  2. Three-week sprint

    Weeks 1 to 3

One workflow, built inside your accounts, tested against the cases we agree on, and switched on with alerts in place. Anything that stops passing the agreed tests is fixed at no charge for 45 days after launch.

  3. Automation Care

    Monthly, after launch

Monitoring, fixes when a client form or email format changes, and a short monthly report on what ran and what it saved.

You pay the second half only when it works.

Week 1
We agree in writing on the tests that define "working", including the awkward edge cases.
Payment
Half to start. The other half when every test passes.
If it's late
Not passing by the end of week three? I keep working at no extra cost until it does.
Sonia, founder of Stravius Tech

Who you'd work with.

I'm Sonia. Before Stravius I was a QA engineer at a Series C healthtech company, writing the automated tests that caught problems before users did. Since then I've founded and shipped my own AI products.

I work with accounting firms because document chasing is repetitive enough to automate and easy to get wrong if you skip the testing. You work with me from the first call to handover.

Questions accounting firms ask.

Does it work with QuickBooks, Xero or our practice software?

In most cases, yes. In the audit I confirm which of your tools it can connect to and how. If I can't connect something safely, you'll know before you pay anything.

We already use a client portal. Is this still useful?

Often. Portals collect files, but someone still has to chase the clients who don't upload. The automation can work alongside your portal's reminders or fill the gaps around them, and the audit will show whether it's worth it for your firm.

Do we need anyone technical on our side?

No. I build it, connect it to your accounts and set up the alerts. Your team needs to know your process, not the technology, and gets a walkthrough at handover.

Will clients find automated reminders annoying?

Each reminder lists only what that client still owes, and the reminders stop as soon as they've sent it. We agree the wording and schedule with you before anything goes live.

Is our client data safe?

An NDA and a data processing agreement come first. The automation runs inside your own accounts, I build with synthetic data, and I keep client files out of public AI tools.

Can it be ready before busy season?

The audit report arrives within three business days, and a sprint takes three weeks from kickoff. Book at least five weeks before you need it live.

What happens if something breaks after launch?

Alerts tell us before your clients notice. Anything that stops passing the agreed tests is fixed at no charge for 45 days after launch. After that, Automation Care covers it.

Will it replace our staff?

No. It takes the chasing and retyping off your seniors' desks, so they spend busy season on client work. Anything the automation isn't sure about still goes to a person.
